Here’s what you need to know:

Electronic Payment:

When we move to electronic scoring, we will also be moving to electronic payment.  This will change some things though..

·         Matches need to be paid for on the date the match is played or risk losing bonus points.  If a team doesn’t pay multiple weeks, they risk losing all points earned.

·         One person on the team pays for the whole match – Teams will need to work this out amongst themselves.  Anyone on the team can pay.

·         You can pay for matches well in advance.

·         Division Rep and Senior discounts have to go away.  There is no way for teams to pay anything other than the full team fee amount.  You essentially just put the match in your cart and check out.

o    We are working through lots of ideas to develop our Division Rep program and also how to give back to our seniors and will announce that when the plans are finalized.

·         DO NOT PAY ELECTRONICALLY UNLESS YOUR DIVISION HAS BEEN CONVERTED TO ELECTRONIC SCORING!

o    Once we go live with electronic payment, it will turn on everyone at once, but we will not be accepting payment online unless your division is using the scorekeeping app.

·         Please use up all of your team credit prior to your division going electronic.  Once we transition, there’s no reason for team credit as teams can only pay the flat price for league play.

·         Once we at the office enter the scores from a particular match, the ability to pay for the match goes away.

·         Please make sure the Team Captains have an accurate cell phone number on file – We will attempt to text the captains if we find a match hasn’t been paid for before we enter the scores.

Patches:

·         We are working out the final details, but here’s our idea:

o    First – patches will be FREE!!

o    We plan on setting up a Rep at some locations around the area with a stock of patches once a session (likely toward the end or even the last week of the session).  Players can go and meet the Rep, display your stats on your app to that Rep and they will gladly give you any patches you’ve earned.  These dates, reps, and locations will be published on our calendar ahead of time so you can plan with your team.

FAQ’s:

Who keeps score?

·         One person from each team needs to keep score just like paper.  Anyone on the team can log in and keep score.

Will the app rectify the teams scores against each other during the match?

·         No – nothing gets rectified with us until the match is submitted at the end of the night.  You should still check in with the other team’s score keeper between racks to confirm the score.

What happens when our score keeper needs to leave or wants to switch out?

·         If your team needs to switch score keepers for any reason, whoever is going to take over needs to log into the scorekeeper app, click on the score sheet and then click into the match they want to take over scoring.  There will be a popup saying that “Player X is scoring, do you want to take over?”  You just click to take over.

What happens if there’s a glitch or I lose service or WiFi?

·         When we onboard divisions, we will bring some blank scoresheets for the bar or division rep to hold onto.  In the event of a glitch or service drop, please continue keeping score on paper and then go back to the app and input it when it returns.  Its rare any more that the app glitches and when it happens recovery time is often very quick – 5-15 minutes.

Does the app work offline?

·         No, you’ll need to have WiFi or cellular signal.  If you are having trouble at any particular location with service, please reach out to us here at the office and we will reach out to the location to see what can be done to help.

How do make up matches work?

·         On the date, play as many matches as you can and then submit them.  You will get a pop up confirming that you’re only submitting X matches.  Confirm that.  When you’re ready to finish the match, it will be available for you to go back and score the remaining matches.

Can we still preplay matches?

·         YES!  If you let us at the office know that you want to preplay, please contact us and we will release the score sheets for that week so that you can score online.

Do we still have to add up innings and the total scores?

·         NO!  The system adds everything for you.  You just need to enter exactly what happens in the match.  The app will total the innings, games, points, team points, etc.

What happens if we break the 23 rule?

·         You will get a pop-up when you select a player that will cause you to break the 23 rule.  Also, the app will count your skill level totals as you select players throughout the match so you can see what your total is as the night goes on.

Will Masters matches score electronically?

·         No, it isn’t available to be scored electronically.  Electronic payment will be available and necessary. We are working on a plan to get Masters scoresheets out to the divisions – possibly by emailing them to the division reps, or the location if possible to be printed.

How do repeat players work?

·         The scorekeeper app allows for a double play.  You’ll get a pop up confirming that this player has played already and can say yes to that or no if it was an error.

Does the app prevent a team from playing 2 players twice?

·         No it doesn’t.  Teams are still going to need to be up to date on the bylaws.  We do not allow more than one player to play twice and it still isn’t allowed in the last 4 weeks of play.  The app doesn’t prevent it as different leagues have different rules.

Will it be simple to split tables?

·         Yes, one person can be logged in to a match and another person from your team can log in to the next match.

Are we still responsible for greens fees to the bar if there is one?

·         Yes!  Greens fees for your location are separate from the APA weekly fees and are still owed to the bar.  We will be in touch with the locations on strategies to collect the greens fees since there aren’t packets to hold onto.

Will the standings and stats be updated in real time now?

·         No.  As league operators and admin staff, it is still our job to review scoresheets and rectify them against each other before entering them into your record.  We are going to be moving our timelines around once the whole league is online to process them quicker though since we will be receiving them sooner.

What happens if we make a mistake?

·         There are undo and edit features that allow you to fix any mistakes.

Are there credit card fees on top of league dues?

·         Not to the teams.  The credit card fees are charged to us on the back end and do not affect the total amount you pay to the APA

Does it keep track of time outs?

·         Yes!  There’s a button for time-outs and it has a counter on it so you can be sure timeouts don’t exceed a minute.

Can we make roster changes?

·         Yes.  Since the national rule is 4 weeks, it allows teams to make roster changes within the first 4 weeks of the session.  Since our local league allows roster changes later than 4 weeks, you would have to reach out to us at the office to make the change for you prior to league play.

How do we add a new player?

·         The new player would have to download the member services app and pay their annual membership online prior to being added to the team.

If we have a new player that we know is better than a 3, how do we start them higher than a 3?

·         You would need to reach out to the office so we can set their skill level higher and then re-print score sheets.  If this is happening outside of office hours, you would need to send a text via our text line or a Facebook message to our page.

Can we change our captain and co-captain?

·         No – The app doesn’t allow a team to change Captain and Co-Captains.  You would need to reach out to the office to make the change.

Is there anywhere to write notes to the office and can the other team see them?

·         There is a spot to write any notes to the office and no the other team cannot see your scoresheet.  HOWEVER – our sportsmanship process isn’t changing.  If you have any serious sportsmanship or skill level concerns, you still need to email or reach out to us somehow so we can follow up.

What is the penalty for not paying on time?

·         We will be changing the bylaws to reflect any rule changes in this area.  Final decision on this is to be determined.

Can we score electronically at TriCup, World Qualifiers or World Pool Championships?

·         In short, no.  Its isn’t yet available for Tournaments at the moment – National is working on that.  You will still need to keep score on paper.
